Our Details

We are GLIDE SURF & SNOW TRAVEL LTD, a company incorporated in England and Wales (company number [16281925]) with our registered office at [85 Great Portland Street, First Floor, London, W1W 7LT, UK] ('we', 'us', 'our'). We specialise in surf and snow travel, acting as intermediaries between customers and service suppliers.

Application of These Booking Conditions

Your contract with GLIDE SURF & SNOW TRAVEL LTD is subject to these booking conditions. A contract will exist between you and us once you have paid your deposit (or full payment) and we have issued a booking confirmation. The electronic payment confirmation is not the booking confirmation. The lead customer name on the booking guarantees they have the authority to accept these terms on behalf of the entire party. All bookings must be made by individuals aged eighteen years or over. The lead name is responsible for all payments due.

Your Contract

We act as an intermediary booking agent, facilitating contracts between you and the suppliers of the travel services ('Supplier/Principal'). Your booking is subject to both these terms and the Supplier/Principal's terms and conditions. We advise you to read the Supplier/Principal's terms carefully as they contain important information about your booking.

Booking and Payment

At the time of booking, we will confirm the total cost of your trip and provide a breakdown of what is included. A non-refundable deposit, typically 20% - 50% of the trip price, must be paid to secure your booking. Usually, the full balance must be settled at least 100-60 days before your departure date. In some cases, particularly for peak season travel or supplier requirements, we may require a higher deposit or full payment further in advance. Please, refer to the payment terms in your booking for exact conditions.

Certain suppliers may require additional payments beyond the standard deposit, subject to their own terms and conditions. In these cases, we will notify you of any extra payment obligations at the time of booking.

We accept payments via bank transfer. Once full payment is received, travel documents will be issued electronically via email.

Price Changes

All prices are subject to availability and can change without notice prior to confirmation. Once your booking is confirmed, the price will not change except in cases involving government action, currency fluctuations, or fuel surcharges. We will absorb any increase up to 2% of your booking cost; amounts exceeding this may be passed on to you.

Special Requests and Medical Conditions

Special Requests: While we will make reasonable efforts to accommodate special requests (e.g., room location, dietary needs), these cannot be guaranteed and do not form part of the contractual agreement.

Medical Conditions: You must inform us of any medical conditions or disabilities that may affect your travel arrangements at the time of booking. This allows us to assess feasibility and liaise with suppliers to make reasonable adjustments where possible. We are not liable if we or our suppliers are unable to accommodate specific needs that have not been disclosed in advance.

Changes, Amendments and Cancellations

Amendments: If you wish to amend your booking, please notify us in writing. While we will endeavor to assist, we cannot guarantee that changes can be made. Multiple or frequent amendments may incur additional costs, including a £50 administration fee.

Cancellations: If you need to cancel your booking, you must inform us in writing.

Changes to Your Booking

(a) Transfers

You may request to transfer your booking to another individual who meets all applicable travel requirements. This will be possible based on the terms and conditions of the chosen supplier. This request must be made in writing at least 30 days before departure. Both you and the new traveller will be responsible for any costs incurred in making the transfer. An administration fee may apply, and additional supplier charges may also be required. We cannot guarantee that the transfer will be accepted by our suppliers.

(b) Other Changes


If you wish to make modifications to your booking after confirmation, we will do our best to accommodate your request but cannot guarantee that changes can be made. Any change request must be submitted in writing. For group bookings, only the designated lead customer or group lead traveler may authorise changes.

(c) Administration Fee


Amendments to a booking may incur a non-refundable administration fee of £50 per change. Additional supplier charges may also apply.

Cancellation by You

If you wish to cancel your booking after confirmation, you must notify us in writing. In the case of group bookings, the lead traveler must provide authorisation for cancellation. Your booking cancellation fees will apply. Please note that deposits, administrative fees, insurance premiums, and other fees paid are usually non-refundable in the event of cancellation.

To protect against unexpected cancellations, we strongly recommend obtaining adequate travel insurance that covers cancellation fees. If your reason for cancelling is covered by your policy, you may be eligible to reclaim costs.

Cancellation Charges

Cancellation fees are calculated based on the date we receive your written notice of cancellation.

Typically, the cancellation fee would be as below, but can vary depending on the chosen trip/supplier.

Cancellation terms will be outlined in your booking information.

Days Before Departure - Cancellation Fee (% of total trip price)

60-100 days or more - Deposit amount only


60-100 days or less - 100% of total trip cost

Certain trips may have specific cancellation deadlines or conditions, which will be detailed in your booking confirmation. After the final payment due date specified in your booking, any payments made will be non-refundable.

Behavior and Conduct

You are expected to conduct yourself in an appropriate manner during your trip and comply with all local laws, regulations, and cultural norms. If you behave in a way that is disruptive, dangerous, or illegal, we and/or the Supplier/Principal reserve the right to terminate your booking without compensation. You will be liable for any damages or losses caused by your actions, including costs incurred by us or our suppliers as a result of such behavior.

Amendments and Cancellations by the Supplier

The supplier reserves the right to amend or cancel your booking. In such cases, we will offer you alternative arrangements or a full refund. We are not liable for any additional costs incurred by you as a result of such changes.

Our Liability

We act as an intermediary booking service between you and the suppliers of the travel services. While we undertake due diligence to partner with reputable suppliers, we cannot accept liability for the actual provision of the services. Our obligations are limited to making the booking in line with your instructions. We are not responsible for any information about the services that we pass on to you in good faith. However, we will provide assistance in resolving any issues that arise.

Travel Insurance

It is a condition of your booking that you have adequate travel insurance in place. This should cover, at a minimum, medical expenses, medical evacuation and repatriation. We recommend that you obtain insurance before the time of booking.

Passports, Visas, and Health Requirements

You are responsible for ensuring that you meet all passport, visa, and health requirements for your travel destinations. We accept no liability if you are refused entry into any country due to failure to comply with these requirements.

Complaints

If you have a complaint during your trip, please inform us as well as the Supplier/Principal immediately to allow us and them the opportunity to resolve the issue. If the matter is not resolved to your satisfaction, please contact us in writing within 28 days of your return.

Force Majeure

We are not liable for refunds or compensation where a booking cannot be fulfilled due to events beyond our reasonable control, including but not limited to natural disasters, pandemics, strikes, government travel restrictions, or supplier insolvency.

Data Protection and Privacy

We comply with the UK’s Data Protection Act 2018 and the General Data Protection Regulation (GDPR). We will only collect and process personal data necessary for managing your booking. Your personal information will be kept secure and will not be shared with third parties except as required to facilitate your booking. By making a booking, you consent to us processing your personal data in accordance with our privacy policy.

Severability

If any provision of these terms and conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

Entire Agreement

These terms and conditions, along with any other documents expressly referred to within them, constitute the entire agreement between you and us, superseding any prior agreements or understandings.

Third-Party Rights

No person who is not a party to this contract shall have any rights under or in connection with it.

Updates and Changes to Terms

We reserve the right to update or modify these terms and conditions at any time. The version in effect at the time of booking will apply to your contract.

Jurisdiction and Applicable Law

These terms and conditions are governed by the laws of England and Wales. Any disputes arising from these terms shall be resolved exclusively in the courts of England and Wales.
